Question
When you started archiving outbound documents on your SAP systems some time ago, you might have used the SAP format OTF for creating the outbound documents. If you now switch to the PDF format, problems might occur when you try to to view the archived documents.
Answer
In order to prevent viewing problems after switching from OTF to PDF format, a new archive must be created to contain the outbound documents in PDF format. The separate archive is needed because different viewing settings are required. These can be defined for a single archive (ID) only. Other settings are needed because the SAP ArchiveLink Viewer that displays the OTF documents cannot handle the PDF format. The SAP ArchiveLink Viewer is the only viewer capable of displaying the OTF format.
You need to perform the following steps in order to switch to PDF format:
1) Switch the format for outbound documents from OTF to PDF using the ArchiveLink monitor.
2) Create a new archive in SAP and assign it to outbound documents in the link table. In the server configuration profile (usually archint.ini), you can assign this new archive ID to the same physical archive as before. However, it is recommended that you use a different physical archive.
3) Add an appropriate ARCHIVE statement for the new archive ID to the server configuration profile.
3) Create a new communication protocol for the new archive and customize the viewing parameters so that a PDF viewer is used.
Note: We recommend the use of the PDF format for outbound documents from the very beginning.
