Question

What is the behavior for different menu option functionality between HTML Mail and Edit Client Email?

Answer

Send as link to Edit Client Email. The behavior is the same as HTML email:
Send Email> As a Link
Selecting a single document, the document link is attached to the email content.
Selecting multiple documents, all the selected document links are attached to the email content.
Send Email> As an Attachment
Selecting a single document, the document is attached to the email content.
Selecting multiple documents, the documents (first part) are attached to the email content.
Send Email> As PDF
Selecting a single document, the document is converted to a PDF file and attached to the email content.
Selecting multiple documents, the documents (first part) are converted to PDF files and all the PDF files are attached to the email content.
Send Email> All parts as a compressed file
Selecting a single document with multiple content elements, all parts are compressed to a .zip file. The .zip file is attached to the email content.
Selecting multiple documents with multiple content elements, all parts of each document are compressed to a .zip file and all these .zip files are attached to the email content.
Send Email> All parts as a PDF File
Selecting a single document with multiple content elements:
  • If the repository is P8, the first part is converted to a PDF file and this PDF file is attached to the email.
  • If the repository is CM8, all parts of the document are converted to a PDF and are attached to the email.
Selecting multiple documents that have multiple content elements:
  • If the repository is P8, the first part of each document is converted to a PDF file and is attached to the email.
  • If the repository is CM8, all parts of each document are converted to a PDF file and are attached to the email.
Edit Client Email
Send Email> As a Link
Selecting a single document, the document link is attached to the email content.
Selecting multiple documents, all the selected document links are attached to the email content.
Send Email> As an Attachment
Selecting a single document, the document is attached to the email content.
Selecting multiple documents, the documents are compressed to a .zip file and attached to the email content.
Send Email> As PDF
Selecting a single document, the document is converted to a PDF file and attached to the email.
Selecting multiple documents, the documents (first parts only) are converted to PDF files and then compressed to a .zip file and attached to the email.
Send Email> All parts as a compressed file
Selecting a single document with multiple content elements, all parts are compressed to a .zip file. The .zip file is attached to the email content.
Selecting multiple documents with multiple content elements, all parts of each document are compressed to a .zip file and all these .zip files are compressed to a parent .zip file. The parent .zip file is attached to the email content.
Send Email> All parts as a PDF File
Selecting a single document with multiple content elements:
  • If the repository is P8, the first part is converted to a PDF file and attached to the email.
  • If the repository is CM8, all parts of the document are converted to a PDF and attached to the email.
Selecting multiple documents with multiple content elements:
  • If the repository is P8, the first part of each document is converted to a PDF file. Then, all are compressed to a .zip file and attached to the email.
  • If the repository is CM8, all parts of each document are converted to a PDF file. Then, all are compressed to a .zip file and attached to the email.
Notes:
  • If you use Send Email> All parts as a compressed file and Send Email> All parts as a PDF File on common documents, the behavior is the same as Send Email> As an Attachment and Send Email> As PDF. If you use Send Email> As an Attachment and Send Email> As PDF on multiple contents document, only the first element (or part) is downloaded or converted.
  • Send Email> As an Attachment and Send Email> As PDF are used for common documents.
  • Send Email> All part as a compressed file and Send Email> All parts as a PDF File are for documents with multiple content elements (FileNet) or multiple parts (IBM Content Manager CM8).
Known issue: When you use "Send As Link" function with the desktop email client, the Edit Client Email service on Chrome browser and Microsoft Edge browser, the document links are limited to 4.

Workaround: Use Firefox browser or other browsers instead.
