Question
In IBM Cognos Analytics if all users have access to the scheduled report output (PDF or Excel) versions that are saved in Team Content, can we find the Cognos user IDs for the users who download the report output? And while downloading the report output, can we append the download date to the report output file name?
Answer
When you save the report output as Excel or PDF formats and then download the report output, the downloaded file name will contain the report name and the date and time when the report was run but not the date and time when the file was downloaded. Note that it uses the Cognos server time from when the report was run. There is no way to change this behavior with any setting within IBM Cognos Analytics. When using Chrome and Firefox, the downloaded file names for both Excel and PDF do contain the report name and its run date and time. The same is true when using Internet Explorer and downloading Excel report output. When you use Internet Explorer and download the PDF report output, then the file name is not the same as the report name and there is no date/time in the file name either.
The Cognos Audit tables contain information about when the report was run and when the output was viewed within Cognos, but they do not contain information about the download of the saved report output. The download takes place outside of Cognos which cannot be tracked by Cognos Auditing. So you cannot retrieve the Cognos user ID for those that have downloaded the report output.
