How to configure e-mail functionality in Controller

Troubleshooting


Problem

Customer would like to use some of the email-related functionality that is available inside the Controller client.
What are the steps to configure e-mail functionality in Controller?

Environment

For the functionality to work, you must have an SMTP (messaging) server available.
  • Typically this will be your email server (for example Microsoft Exchange or Lotus Notes)
  • Alternatively, for test purposes you could use the simple SMTP server which is built-into Windows. For more details, see separate IBM Technote #.

Resolving The Problem

Ensure that the following is done:
(A) Locate/obtain a working SMTP server
  • This is the 'relay' mail server, which will forward the emails (from the Controller client PCs) to their destination.
  • TIP: For basic testing purposes, you can create/use a simple Windows 2016 SMTP server. For instructions, see separate IBM Technote #5690415
 
(B) The SMTP server's name/address saved inside 'General Configuration'
  • TIP: This must be done for each Controller application repository database (for example 'ControllerLIVE', 'ControllerTEST' etc.) that you want to email from
 
(C) The client PC must not have a firewall (or anti-virus / anti-spyware) program blocking the SMTP TCP port (by default, this is port 25).
 
(D) Each end user's Controller logon username must have a corresponding email address configured inside the database.
 
(E) To allow the Controller 'Command Center' email functionality working, you will need to configure the parameter 'C4_EMAIL_SERVER'.

Steps for (A):
1. Ask your I.T. department to provide you with an SMTP server (or configure an existing email server to allow SMTP forwarding)
2. Ensure that this SMTP server allows anonymous logon (for the Controller client PCs)

Steps for (B):
1. Launch Controller
2. Logon to the relevant database
  • NOTE: You will need to logon to each database in turn, and repeat for each database you need.

3. Click 'Maintain - Configuration - General'.
4. Click 'General 3' tab.
5. Tick the checkbox 'Use E-mail', then enter the address of the SMTP server into the 'SMTP Server' box:

6. Select the 'E-mail format' (either XLS, CSV or HTM), and click "Save".
7. All users must then log off and log on to be able to work with the new settings

Steps for (C):
The steps will vary depending on environment.
  • Example: If using McAfee VirusScan Enterprise v8, then
(a) right-click on McAfee 'V' icon inside the systray and open the 'VirusScan Console'
(b) double-click on 'Access Protection'
(c) Untick the box 'Prevent mass mailing worms from sending mail'

Steps for (D):
1. Launch Controller
  • Again, you will need to logon to each database in turn if required
2. Click 'Maintain - Rights - Users'.
3. Select each end user (e.g. 'ADM') in turn
4. Ensure that they have a valid entry for the section 'E-Mail Address':
