Controlling the display of sensitive personal data with security groups and signature options

Troubleshooting


Problem

To support compliance with General Protection Data Requirements (GPDR), you can use security groups and signature options to control the display of sensitive personal data. Signature options specify privileges for using applications, menu options, and toolbar items. You apply signature options to security groups to control their access to data, to applications, and to controls.

Signature options are enabled automatically for existing security groups. You might want to limit the sensitive personal data that shows for existing security groups.

In the Security Groups application, the signature option Controls the Injury and Illness Details (condition BMXAOINJILL) of the Incidents (HSE) application controls whether the Injury and Illness Details table displays in an incident record.

When a workplace accident must be reported, the Persons Impacted by Incident table of an incident record might contain sensitive personal data about the person who is impacted, such as the following information: 

  • The name of the employee
  • The home address of the employee
  • The phone number of the employee
  • The date of birth of the employee
  • The date of hire for the employee
     

In the Persons Impacted by Incident table, if the Injured/Ill option of the Person Role field is selected, the Injury and Illness Details table might contain the following details:

  • The date of injury or onset of illness
  • The type of injury or illness
  • The object or substance that harmed the employee
  • The treatment or services that were provided
  • The name and location of the physician who treated the employee
     

 

Resolving The Problem

You can enable or disable the display of the Injury and Illness Details table for specific security groups by  performing the following steps:

  1. Log in to Maximo Health, Safety and Environment Manager.
  2. In the Security Groups application, specify the security group.
  3. On the Applications tab, filter for the Incidents (HSE) application.
  4. In the Options for Incidents (HSE) table, select the Controls the Injury and Details option.
  5. Clear the Grant Access? check box. Conversely, to enable the display, click the Grant Access? check box.
  6. Save the record.
  7. To apply the changes, log out of Maximo Health, Safety and Environment Manager, and log back in.


You can also use the Report Administration application to generate the Injury and Illness Incident Report that displays this type of sensitive personal data. Using the Report Administration application, you can grant or restrict the ability of personnel to generate the Injury and Illness Incident Report.
