IJ35102: UNABLE TO REMOVE A UNIT OF MEASURE WHEN THE INVOICE IS AUTO CREATED BY THE APPLICATION

APAR status

• Closed as program error.

Error description

• When trying to remove some Units of Measure from Maximo that are
  no longer required an error is thrown.
  This only occurs if the invoice was created by the system
  through the Pay on Receipt? checkbox on a PO record. If the
  invoice is manually created i.e. the Pay on Receipt? checkbox is
  NOT checked on the PO, once the invoice is marked as PAID we can
  subsequently delete the Unit of Measure
  
  Log in to Maximo
  Go To - Inventory - Item Master
  Go To, Select Action-Unit of Measure and
  Conversion-Add/Modify Units
  of Measure
    a) Create the Unit of Measure TOTHIS:
    b) Create the Unit of Measure FROMTHAT:
  Go To, Select Action - Unit of Measure and
  Conversion - Add/Modify
  Conversions between TOTHIS and TOHAT. Conversion Factor=1
  Go To - Item Master Create a new ITEM= ITEM1. Insert
  in ORDERUNIT the value FROMTHAT, and insert in ISSUEUNIT the
  value
  TOTHIS.
  Add to storeroom CENTRAL, Current Balance=0, Order
  Unit=FROMTHAT, Issue Unit=TOTHIS
  Go To -  Inventory - Inventory.
  Select the code ITEM1. On tab Inventory check that the Order
  Unit and Issue Unit appear as above
  Go to Purchase Orders and insert a new record, Company=BURSAW,
  Pay on Receipt? checkbox is CHECKED
  Click New Row on PO Lines tab, Item=ITEM1, Storeroom=CENTRAL, GL
  Debit Account=6000-200-300
  Approve PO
  Go to Receiving application and recall PO and receive all
  Go to Invoices application and using the Advanced Search feature
  recall the invoice record with PO=po_created_above
  NOTE:  the invoice no. for later and that the PO is in APPR
  status
  
  Now we will go through each step in an attempt to delete the
  Unit of Measure values created above
  
  Go to Inventory
  More Actions-Unit of Measure Conversion and
  Conversions-Add/Modify Units of Measure menu option
  Find TOTHIS and FROMTHAT and click the trashcan icon on each
  line one at a time
  RESULT: for BOTH receive the system message
  BMXAA0216E - The unit of measure exists on a(n) conversion
  record and therefore cannot be deleted.
  
  More Actions-Unit of Measure Conversion and
  Conversion-Add/Modify Conversions
  Find the conversion FROMTHAT TOTHIS and select the trashcan icon
  Click OK in dialog box
  
  Return to More Actions-Unit of Measure Conversion and
  Conversions-Add/Modify Units of Measure menu option
  Find TOTHIS and FROMTHAT and click the trashcan icon on each
  line one at a time
  RESULT: for BOTH receive the system message
  BMXAA0216E - The unit of measure exists on a(n) inventory record
  and therefore cannot be deleted.
  
  For the item in Inventory find the Order Unit and Issue Unit and
  enter EACH as the value for both fields
  Save record
  
  Return to More Actions-Unit of Measure Conversion and
  Conversions-Add/Modify Units of Measure menu option
  Find TOTHIS and FROMTHAT and click the trashcan icon on each
  line one at a time
  RESULT: for BOTH receive the system message
  BMXAA0216E - The unit of measure exists on a(n) invvendor record
  and therefore cannot be deleted.
  
  On Reorder tab for same item in Inventory expand line under
  Vendor=BURSAW and replace Order Unit with EACH
  
  Return to More Actions-Unit of Measure Conversion and
  Conversions-Add/Modify Units of Measure menu option
  Find TOTHIS and FROMTHAT and click the trashcan icon on each
  line one at a time
  RESULT: for BOTH receive the system message
  BMXAA0216E - The unit of measure exists on a(n) item record and
  therefore cannot be deleted.
  
  Go to Inventory-Item Master and recall item created above,
  replace Order Unit and Issue Unit with EACH
  Save record
  
  More Actions-Unit of Measure Conversion and
  Conversions-Add/Modify Units of Measure menu option
  Find TOTHIS and FROMTHAT and click the trashcan icon on each
  line one at a time
  RESULT: for BOTH receive the system message
  BMXAA0216E - The unit of measure exists on a(n) invoiceline
  record and therefore cannot be deleted.
  
  Go to Invoices application and recall invoice from above
  Change the status to PAID
  
  Go to Inventory-Item Master and recall item created above
  
  More Actions-Unit of Measure Conversion and
  Conversions-Add/Modify Units of Measure menu option
  Find TOTHIS and FROMTHAT and click the trashcan icon on each
  line one at a time
  RESULT: for BOTH receive the system message
  
  BMXAA0216E - The unit of measure exists on a(n) invoiceline
  record and therefore cannot be deleted.
  
  EXPECTED RESULT:
  The Unit of Measure should be allowed to be deleted at this time
  
  When the same steps above are performed with the exception that
  on the po created the Pay on Receipt? checkbox is NOT checked
  i.e. the subsequent invoice is created manually, when attempting
  to remove the Unit of Measure the Unit of Measure is ALLOWED to
  be deleted once the Unit of Measure is removed from Conversion,
  the inventory record, the item record and the invoice is marked
  as PAID
  .
