Document archiving

For legal and internal policy reasons, companies must keep documents for a certain time. Filing the documents on paper or on microfiche requires a large amount of storage. Paper documents and microfiches are available to local users only and must be duplicated when more than one user needs them. In addition, retrieving paper documents and microfiches can be time-consuming and inefficient. With Content Collector for SAP, you can process the documents electronically.

Processing documents electronically have these benefits:
  • You can use cost-efficient storage media.
  • All authorized users can access the documents without being delayed by conventional archive inquiries.
  • Several users can access the same documents at the same time.
  • You can include SAP workflows to optimize existing work routines.

Content Collector for SAP can handle all of the following types of SAP documents:

Incoming documents
Such documents are, for example, supplier invoices that reach the company by way of mail or telefax and are stored as rasterized images.
Outgoing documents
Such documents are normally printed and sent to their respective recipient. After you archive these documents with Content Collector for SAP, you can retrieve them quickly in the case of internal or external audits and of inquiries by customers or suppliers.
Desktop files
Such documents are created by applications, such as office applications or Common Agent Services (CAS) applications. They can be stored by Content Collector for SAP and accessed by SAP by using Desktop Office Integration (BC-CI) or the document management system (DMS).

This information describes how to archive incoming and outgoing documents and how to link and view archived documents. In addition, it describes how to configure your environment for these tasks.
