Creating alert rules

You can define alert rules to generate alerts that are related to sales orders or outbound shipments.

As orders move through the fulfillment process, they go through various steps corresponding to a status in the order management system. You can identify certain order or shipment statuses that represent important milestones in the fulfillment process. By creating an alert, you can ensure that someone is alerted when the fulfillment process is running behind schedule and presents a risk to the timely fulfillment of an order. For example:
  • You can create a rule to be alerted if an order does not reach Shipped status 1 hour after expected ship date.
  • You can create a rule to be alerted if a shipment does not reach the Ready for customer status for Store pickup shipments 1 hour before the expected ship date.

Before you begin

  1. If you see the message "Contact an administrator to enable this feature", see Contact your administrator to enable this feature.
  2. Order and shipment monitors must be enabled.

    System administrators with access to Applications Manager and the Self Service can configure and enable the monitors. If the monitors are not running, a message is displayed in Order Hub on the Alert rules page. For example,
    Order and shipment alerts will not be triggered because the order and shipment monitors are not enabled. Contact your administrator to enable the monitors.

Procedure

  1. Go to Settings > Alert rules.

    Alternatively, you can also access Alert rules from the Home page by clicking Manage rules.

  2. Log in to Order Hub.
  3. Select an enterprise. Only seller enterprises are available in the list.

    Alert rules are created for the enterprise that you select. If you want the rule to apply to multiple enterprises, then you need to recreate the rule for each enterprise.

  4. Click Create.
    Note:
    • To delete an alert, click the trash can (Trash can icon) and confirm that you want to delete.
    • To edit, click the alert trigger, edit the alert, and then click Save.
  5. Define the alert rule.
    Alert rule fields
    Field Description
    Alert type The type of alert.
    Order
    Create an alert rule based on order status checkpoints.
    Shipment
    Create an alert rule based on shipment status checkpoints.
    Business process The business process to monitor for alerts.
    Note: Work with your administrator to determine the correct Business process to select for order alerts and for shipment alerts. In Applications Manager, the business process is called a Pipeline. Administrators can configure that the correct business process be automatically selected. For more information, see Customizing options for alert rules.
    Delivery type The delivery type that you want to monitor.
    Trigger type Define the conditions to trigger an alert.
    Different conditions display depending on the trigger type that you choose.
    • When you select Status not reached, you are alerted when an order does not reach a status within a specified duration relative to an order date.

      When you select In status for too long, you are alerted when an order is in a status for more than the specified duration.

    Note: If you do not see any entries for the Order status has not reached or Shipment status has not reached fields, work with your administrator to create the statuses. For more information, see Configuring options for alert rules.
    Assign to queue Assign the alert rule to a queue. Queues are used to direct alerts to a specific group of users. Users who belong to a queue can view and close the alerts.

    You do not have to assign users to the queue. Order Hub automatically subscribes users to the queues that are associated with Alert rules.

  6. Click Save.

Results

You can view alerts that are triggered on various different pages in Order Hub.
  • On the Home page.
  • By using the Alert search page.
  • In the Active alerts tab on the Order details page (for Order type alerts).
  • In the Active alerts tab on the Shipment details page (For Shipment type alerts).
