Creating schedules

Creating a schedule in the Graphical Scheduling application helps you to see upcoming work based on work record, asset, or location hierarchy, and optimize the resources that are needed for the work. The schedule is prioritized and logically structured by work record. By default, schedules can be updated or deleted only by the user who created them. Use the Manage Commit Access action to control who can commit the schedule back to the database.

Procedure

  1. In the Graphical Scheduling application, click New ScheduleInsert icon.
  2. In the Schedule field, specify a name for the schedule, and then use the Description field to briefly describe the schedule.
  3. In the Type field, specify the schedule type that you want to create. Choose Asset, Location, or Work.
  4. In the Calendar field, specify the shift calendar for when the work is to be performed.
  5. In the Shift field, specify the work shift when the work is to be scheduled.
    If you do not enter calendar or shift information, the schedule assumes that resources are unavailable.
  6. If you want your project to automatically refresh at predefined intervals, select the Rolling Project? check box and enter a value in the Rolling Frequency field. For example, you want to refresh the work records in the schedule every day at 7:00 AM.
  7. Enter start and end dates for the schedule.
    The Start Date and End Date control the work period calendar that shows in the graphical view. If Project Start Offset Days and Project End Offset Days exist, they are added to either side of the date range in the graphical view. You cannot move work segments outside the graphical view date range as calculated by these four fields.
  8. Use the Restrict Work to Dates? check box to further filter your work query to include only work with a start or finish date between the schedule start and finish dates. This means that any work records without schedule dates is not included in the graphical view at all.
  9. In the queries section, select the asset or location records that you want to schedule for. You can choose from existing queries, create a new one, or select certain assets or locations. Choose from the following options:
    Option Description
    Select assets or locations Click New Row. In the details section that appears, select the Detail menu for the Assets or Locations field. Select the assets or locations that you want to include in the schedule.
    Retrieve a saved query Click Copy Query to produce a list of queries to choose from. Select the query that you want to use.
    Create a query Click New Row. In the details section that appears, complete the required fields to specify the details for the query.
    Click the Detail menu for the Data Objects field. In the Select Objects window, select the database tables that you want your query to pull data from. You can select multiple tables.
  10. You can choose either work orders or PMs that you want to exclude from your schedule by adding a Work Query Restriction.
  11. In the Restrict Resource Availability section, you can restrict which labor and crew resources are available in the schedule. For example, you may have 30 electricians, but you only want to include the ones in a particular work location in the schedule. You can choose from existing craft, labor, crew, or crew type queries, or create a new one.
  12. Click the More Information subtab. In the Additional Resources section, find any resources that you want to include in the schedule that are not required by the work or PMs in the schedule. You can choose from existing craft, labor, crew, or crew type queries, or create a new one. Choose from the following options:
    Option Description
    Retrieve a saved resource query Click Copy Query to produce a list of resource queries to choose from.
    Create a resource query Click New Row. In the details section that appears, complete the required fields to specify the details for the resource query.
  13. Click Save Schedule.
