Scheduling Batch Download Jobs

You can schedule jobs to batch download business objects such as categories, regions, users, and suppliers. The batch download jobs can be scheduled to run at a specific time or on recurring basis. For Emptoris® Spend Analysis you should use this method to download the list of suppliers and categories.

Before you begin

You must create the batch definition to download the data before scheduling the job.

About this task

The download limit depends on the role. If you have multiple roles assigned to you, the download limit cannot be determined.
You can download the data in the following formats:
  • Microsoft Office Excel (.xls or .xlsx)
  • Comma Separated Variable (.csv)
  • Fixed Width
  • Pipe Delimited
  • Semicolon Delimited
  • Tab Delimited

Procedure

To batch download data, complete the following steps:

  1. From the Administration tab, click Jobs > All Jobs > Create.
  2. On the Create Job window, select Batch Download Recurring Job from the Job list.
  3. Select the Batch Definition.
  4. Select the format you want to download the file in.
  5. Specify the subscriber to be notified after the download is complete.
  6. Specify the condition in the Expression fields.
  7. In the Schedule section, specify the date and time to run the job.
    Note: To schedule this job on a recurring basis, click the Recurring check box, and select the date and time to run the job.
  8. Click Save.
    Notes:
    • You cannot use the same file obtained from user export for importing. the users, regions, organizations, addresses, phones, and groups. You must make changes to the data as per the importing standards to import the users, regions, organizations, addresses, phones, and groups.
    • When downloading objects from Emptoris Strategic Supply Management Platform, use the object specific processor that is already defined. Using a generic processor may result in invalid data.
    • We recommend using the Microsoft Office Excel file format for round-trip data, for example, suppliers. However, the .csv file format can still be used for round-trip data if the downloaded .csv file is preprocessed and the number format characters, for example, period and comma, are removed before uploading the data.
    • If the downloaded data has currency values, the system adds the Currency Code field and formats the data accordingly.
    • When creating a batch download recurring job for addresses, construct the expression according to the following guidelines:
      • If you want to download all the organizational addresses, use Organization.Code as the Attribute and is anything as the Operator.
      • If you want to download all the supplier addresses, use Supplier.Company Name as the Attribute and is anything as the Operator.
      • If you want to download all the organizational and supplier addresses in the system, do not create any expression.
