Processing single documents

You can work with document processing applications, where field values are extracted from single documents.

Procedure

  1. To upload documents, in your document processing application, click Add > Add document and select the documents to process from your workstation, or drag the documents directly into the application.
    You can organize your documents into folders, but each document in folders must still be processed individually.
    Note: Supported file types include PDF, Microsoft Word (docx and doc), and Image documents (jpg, jpeg, jpe, png, tiff, tif). You might not be able to upload all these types, as they are defined during the development of the application. Contact your administrator to know about the supported formats for your application.
  2. Optional: If you are prompted to select the document type in the Add files dialog, you can manually set the document type, or you can keep the default setting and click Add. The documents are classified with the type that was selected.

    Depending on your application configuration, you might not see this dialog and your files are directly uploaded.

    If the status of some of your documents is Data issues, you must fix these issues for the documents to be reprocessed correctly.

  3. To fix data issues, select the first document that has issues: right-click the document and select Review.
    You see a scan of your document and the list of expected fields.
  4. Verify that the document has the correct type. Click Change document type pencil icon and select the correct type from the list.

    If you update the type, the document must be reprocessed before you move on to the next step and correct fields.

  5. Correct the field values that have issues. By default, you see all fields in the document, but you can filter only the fields that have issues.
    Types of issues
    Three types of issues are reported.
    • Errors - Empty fields in the document, or fields with invalid values. You must resolve all errors for the document to be processed.
    • Warnings - Fields that might have an incorrect value. You can submit a document with warnings, but you might want to check that all values are correct.
    • Info - For information only. You have no action to take.
    Options for correction
    To correct the values, you have several options:
    • Select a valid value in the dictionary list that was defined as a validator during the designing phase. If your dictionary list is too long, you can start typing in your value to filter the list.
    • Select a value from the list of similar fields, which suggests fields in your document that look like they might contain the correct value.
    • If a date value is missing or has an incorrect format, you can select a valid value from the date picker.
    • Activate the click'n'key setting from the Overflow menu 3 dots icon, which lets you highlight the correct fields directly on the document and automatically populates the fields.
    • Type in the value manually.
    If you use similar fields, click'n'key setting, or manual typing, the values are checked and validated when you submit the document.
    Note: Bar codes are decoded only at extraction time. You cannot use the click'n'key setting to process the bar code value at run time.
  6. Save or cancel your changes.
    • If you need to interrupt a session but do not want to submit the documents yet, click Save changes.
    • If you want to cancel all changes instead, click Cancel.
  7. When you finish your changes, click Submit.

Results

The document is reprocessed with your corrections, and you can either verify the next one that has issues, or go back to the list of documents.
