Lock Management application

To support a safe working environment, and for general security purposes, you can use the Lock Management application to manage locks, keys, seals, and lock boxes for your organization.

Lock management records can consist of the following types of record:

Type of lock management record Description
General lock A general lock is a security device that is used to secure an asset or a location. In the Details table of lock management records, you can record the details of each key to a general lock. Each key must have a unique reference ID.
Digital lock A digital lock is a security device that is used to secure an asset or a location. A digital lock usually requires a digital PIN to unlock it.
Car seal A car seal is an anti-tamper device that is used to secure a valve in an open or closed position. Car seals are one-time use only, as they must be cut for removal.
Lock box A lock box is a box that stores keys to locks that isolate a location or an asset. In the Details section of lock management records, you can record the details of each key to the lock box. Each lock box can have one or more keys, and each key must have a unique reference ID.

Before a technician performs maintenance work on an asset, the asset might need to be secured for safety purposes. For example, before a welding task is performed in a boiler room, the room must be locked to restrict access until the task is complete. When you lock an asset or a location, you store the keys in a lock box until the maintenance work is complete. You can use the Lock Management application in conjunction with the Permit to Work application or the Isolation Management application to manage the process of locking and isolating assets or locations.

In the Lock Management application, you create records for locks, car seals, and lock boxes. You can associate one or more keys with each lock or lock box. You can associate a lock box with a permit to work record or an isolation certificate record, and you can associate up to two locks with each asset or location that is referenced on a permit to work record or an isolation certificate record.

In the Permit to Work application, or the Isolation Management application, when you specify that a lock or lock box is locked or unlocked, the In Use check box is automatically updated on the corresponding lock management record. In the Organizations application, the Enable automatic status updates for lock management records option controls whether your lock management records are automatically updated when you make changes to an associated permit to work record or an isolation certificate record. By default, this option is enabled.

When you select the In Use check box on a lock management record, other users cannot add the lock management record to permit to work records or isolation certificate records. Only authorized people can update the In Use check box. An administrator can authorize people to update the In Use check box by selecting the Authorized for Lock Management check box on the Details tab of the People application.

Lock boxes can also be used to store keys to other lock boxes. You can specify the details of related lock boxes on the Related Records tab of the Permit to Work application or the Isolation Management application.
